Dashboards

The Xilos Dashboard is the central hub for monitoring query activity. It surfaces query volumes, treatment categories, trending topics, and executive reports in real time and across historical ranges.

The dashboard is organized into four components: the Activity Chart, Query Treatment Metrics, Trending Topics, and the Activity Overview & Executive Report.

Activity Chart

The Activity Chart is a time-series graph at the top of the dashboard. It plots query activity over the selected time period and breaks each point down by treatment:

  • Total Query Volume — All queries processed during the period.
  • Unrestricted Queries — Queries that passed through without intervention.
  • Blocked Queries — Queries prevented from processing.
  • Flagged Queries — Queries marked for review or attention.
  • Masked Queries — Queries where sensitive information was concealed before reaching the model.

Interacting with the Chart

  • Hover over the graph to see specific values at any point in time.
  • Use the time range selector in the top right to switch between Day, Week, Month, or custom ranges.
  • Use the arrow buttons to navigate between dates.

Query Treatment Metrics

Below the Activity Chart, five metric cards summarize treatment for the selected period. Each card shows a count, a percentage of total volume, and a period-over-period comparison indicator.

Query Total

The complete number of queries processed during the selected period, with a percentage change relative to the previous period.

Unrestricted

Percentage and count of queries that proceeded without any intervention, plus a period-over-period comparison.

Blocked

Percentage and count of queries that were prevented from processing, with trend indicators.

Flagged

Percentage and count of queries marked for attention or review, including change metrics.

Masked

Percentage and count of queries where data masking was applied, with a historical comparison.

Info: Period-over-period comparison is calculated against the immediately preceding range of equal length. A Week view compares against the prior week; a Month view compares against the prior month.

Trending Topics

The Trending Topics section identifies patterns in query activity:

  • Top Unrestricted Topics — The most common subjects in queries that passed through without intervention.
  • Top Blocked Topics — The most frequent categories that triggered blocks.

When no topics are detected in a category, the section displays "No topics found" with an empty state indicator.

Activity Overview & Executive Report

The right panel provides an intelligent summary of the selected time period.

Highlights

  • Snapshot summary including total volume, peak activity times, and surge drivers.
  • Key observations about blocked, masked, and flagged prompts.
  • Overall activity assessment and trends.

Detailed Analysis

  • Contextual insights about employee engagement patterns.
  • Comparative analysis against previous periods.
  • Recommendations for investigation or action items.
  • Identification of potential barriers or usage patterns.

When Insights Are Available

Insights are generated automatically after a time period concludes:

  • Daily reports — Generated at midnight for the previous day.
  • Weekly reports — Generated on Sunday for the previous week.
  • Monthly reports — Generated on the 1st of each month for the previous month.

Warning: If you are viewing today's dashboard, the chart and metric cards display real-time activity, but the Activity Overview and Trending Topics are not available until the automated report runs at the close of the period.

Historical Date Range Selection

When you select a past date range, the dashboard renders additional detail:

  • Donut charts — Visual breakdowns of query treatments appear on the right side of the dashboard.
  • Executive report — A comprehensive analysis helps you understand key patterns and focus areas.
  • Drill-down — Click any category to explore more granular details and specific examples.

Time Ranges

Use the time range selector in the top right to control the scope of the dashboard:

Navigate between periods using the arrow buttons next to the selector.

Custom Reporting

For insights beyond the standard dashboard, the Mill Pond Research team can create custom reports tailored to your requirements.

To request a custom report:

  1. Contact the Mill Pond Research team with your reporting needs.
  2. Specify the metrics, time periods, and analysis depth you require.
  3. The team will work with you to deliver actionable insights.

Navigation & Settings

Use the left sidebar to access additional Xilos features:

  • Dashboard — Your current view.
  • Query Log — Detailed record of individual queries.
  • Restrictions Rules — Configure blocking and flagging criteria.
  • Routing Rules — Manage query routing logic.
  • Rules Sandbox — Test rule configurations safely.
  • Settings — System configuration and preferences.

The Monitoring button in the top right provides quick access to system health and performance indicators.

Best Practices

  • Daily check-ins — Review yesterday's report each morning to stay informed about query patterns.
  • Trend monitoring — Watch for significant changes in the percentage metrics period-over-period.
  • Topic analysis — Regularly review trending topics to understand what users are asking about.
  • Historical comparison — Use date range selection to compare periods and identify long-term trends.
  • Investigation follow-up — When the Activity Overview suggests further investigation, drill down into specific categories for details.
